Your contact is Magdalena Rungaldier, Owner and Principal. Tell us what happened, who was involved and what outcome you are hoping for. That is all we need to start. Write in English, German or Italian, whichever is easiest for you.
You can stay anonymous. Send us a letter without a sender, write from an email address that does not identify you, or ask someone you trust to pass the concern on for you. We record and look into anonymous concerns in the same way, as far as we can without being able to come back to you. If you do give us your name but would rather it stayed confidential, say so and it will.
What counts
Anything that concerns you about how MAp conducts its business. For example:
- Behaviour that conflicts with our Code of Ethics or our Non-Discrimination Policy
- Concerns about our environmental or social practices
- Concerns about fairness, respect or transparency in how we work together
- Concerns about the claims we make in our communication
What happens next
Step 1. We acknowledge. We confirm that your message reached us within five working days, and we record it in our grievance register at the same time.
Step 2. We look into it. We review the situation, gather the facts and speak with anyone involved. We aim to finish within fifteen working days. If it takes longer, we tell you why.
Step 3. We respond. We share what we found and what we propose to do. If we can resolve it, we will. If corrective action is needed, we say what and by when.
Step 4. We follow up. We check back to make sure the resolution holds and that you feel heard, and we close the case in our register.
If we decide that something does not qualify as a grievance, we explain why, openly and honestly.
No retaliation. Ever.
Speaking up takes courage. We respect that. No one who raises a concern in good faith will face any negative consequence, from us or from anyone acting on our behalf. This is non-negotiable. Here is how we make it real rather than a promise on paper.
Confidentiality. You can ask for your name to stay confidential at any point, and we will tell you honestly what we can and cannot do without it. Before anyone else is brought in, we tell you who. We ask your consent before sharing anything about you further. The outcome stays confidential. Records are held in a file only the Owner and Principal can open.
Anonymous reporting. You can raise a concern without giving your name, by post, from an email address that does not identify you, or through someone you trust. We record and investigate anonymous concerns in the same way, within the limits of what can be looked into without being able to ask you anything.
Risk assessment. When a concern reaches us, we assess whether the person who raised it could face consequences, professionally, financially or personally, and what would reduce that risk. We record that with the case. Where someone depends on us, a freelancer or a team member, we assume the risk is higher and act accordingly.
In practice. No contract ended or reduced, no pay or scope cut, no reference affected and no engagement withdrawn because someone spoke up in good faith. A breach of confidentiality by anyone acting for MAp is itself a matter for disciplinary action or for ending the engagement.
Your other options stay open. Nothing here stops you going to a competent authority, a court or any other external body. Using this procedure is not a precondition for anything.
How we keep track
Every concern is recorded and tracked until it is closed. Once a year we review all concerns and what we learned from them.
